Privacy notice
What we collect, why we collect it, and what you can ask us to do with it.
Who we are
Brother Nature is a non-profit community project running a residential by and for trans men aged 25 and over. We are the data controller for the personal information described in this notice, which means we decide why and how it is used.
For anything to do with privacy or your information, email info@brothernature.co.uk. For anything to do with access needs, email access@brothernature.co.uk.
We know that for many trans men, privacy is not an abstract concern. We collect as little as we can, we share it with as few people as possible, and we will always tell you the truth about what we hold.
What we collect and why
Registering your interest
Our Register Your Interest form asks for your name, your email address, some questions about you and what you hope to get from the residential, and any access requirements you would like us to know about. We use this to send you the booking application, updates about pricing, and reminders before the application window closes, and to plan a residential that works for the people coming.
Our lawful basis is your consent. You can withdraw it at any time by emailing us, and we will remove you from our list.
Contacting us
Our contact form asks for your name, email address and message. Emails you send us directly contain whatever you choose to include. We use this to reply to you and to keep a record of the conversation.
Our lawful basis is our legitimate interest in responding to people who get in touch with us.
Applying for a place
If you apply for a place, we will ask for the information we need to run a fair allocation process and to host you safely: contact details, access and dietary requirements, an emergency contact, and payment or bursary information. Applications are anonymised before places are allocated.
Our lawful basis is your consent when you apply, and performance of a contract once you have a confirmed place.
Access needs and health information
Information about disability, health, chronic illness, neurodivergence or dietary needs is special category data under UK data protection law. We only collect it when you choose to tell us, and only to make the residential work for you.
We rely on your explicit consent, which is the condition set out in Article 9(2)(a) of the UK GDPR. You can withdraw that consent at any time, though it may limit what adjustments we can arrange.
Donations
Donations are handled by Chuffed or by direct bank transfer. We see the information the donation itself carries, such as a name and an amount. We do not collect or store card details at any point.
Our lawful basis is our legitimate interest in receiving and accounting for donations.
Applying to facilitate or to join the organising team
If you email us about these roles, we keep your email and whatever you send us, in order to consider your application and reply.
Our lawful basis is our legitimate interest in recruiting people to run the project.
Who handles your information
We do not sell your information and we do not share it for advertising. It is seen by the small number of people running Brother Nature who need it, and by the service providers below, who process it on our behalf.
- Tally hosts our Register Your Interest form and stores the responses.
- Formspree delivers our contact form submissions to us by email.
- Zoho provides our email, so anything you email us is stored there.
- Chuffed processes donations made through our campaign page.
- Cloudflare hosts this website and handles the requests your browser makes to it.
Some of these providers are based outside the United Kingdom. Where your information is transferred outside the UK, we rely on the transfer safeguards set out in each provider's data processing terms, such as UK adequacy regulations or the International Data Transfer Addendum to the standard contractual clauses.
If you have a confirmed place, we will invite you into a WhatsApp community group with the other men attending. That is optional. If you join, the other members of the group will see your phone number and whatever you post, and WhatsApp handles that information under its own terms.
How long we keep it
- Register Your Interest details: until you ask us to remove you, or twelve months after the residential you registered for, whichever comes first.
- Contact form messages and emails: twelve months after the conversation ends, unless we need them longer for a specific reason.
- Applications from people who did not receive a place: twelve months after the residential.
- Access, health and dietary information: deleted within three months of the residential ending.
- Donation and financial records: six years, which is the period we need for accounting purposes.
Where we no longer need something, we delete it.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the information we hold about you
- correct anything that is wrong
- delete your information
- restrict or object to how we are using it
- send your information to you or someone else in a portable format
- stop using it where we rely on your consent, by withdrawing that consent
Email info@brothernature.co.uk and we will respond within one month. You do not have to explain why you are asking.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Cookies and embedded content
This website does not use analytics, tracking or advertising, and it does not set any cookies of its own.
Three pages embed content from other organisations so that they work: the Register Your Interest form from Tally, the donation widget from Chuffed, and the contact form, which sends submissions through Formspree. These providers may set their own cookies or similar storage when those pages load, under their own privacy terms. The fonts used on this site are served by Google Fonts, which receives your IP address in order to deliver them.
If you would rather not load these, most browsers let you block third-party content and cookies.
Changes to this notice
If we change how we use your information, we will update this page. If the change is significant and we hold your contact details, we will tell you directly.
